How an AI review reply generator works
A generic generator writes a generic reply. NearPinn sets up an AI agent per location and gives it your tone of voice and your policies: how formal to be, how you refer to staff, what you offer when something goes wrong. It reads the review text, the star rating and the reviewer’s name, then drafts a reply that acknowledges the specific point they raised, keeps it short and ends with a next step.
You choose how hands-off it is. Draft every reply and edit before posting, or turn on auto-reply rules for the star ratings you pick: post 4- and 5-star replies automatically, hold 1- to 3-star replies for a human. Replies come in English, German or Arabic, across every location in your workspace.
What a good reply does
- Uses the reviewer’s name and repeats one specific detail from their review, so it cannot be mistaken for a template.
- Stays short: two to four sentences for praise, a little more for a complaint.
- Takes complaints offline with a named person and a direct phone number or email, without arguing in public.
- Mentions the service and the area naturally. “Glad the AC repair in Bahria Town went well” helps relevance; a list of keywords does not.
- Never offers money, discounts or gifts in exchange for a changed rating.
Six Google review reply templates
Replace the words in braces, and never post the same reply twice. Readers notice, and so does Google.
Thank you, {name}! We’re glad the {service} went smoothly and that {detail they mentioned}. We’ll pass this on to {team member}, who will be delighted. See you next time.
Thanks for the five stars, {name}. We appreciate you taking a moment to rate us. Whenever you need {service} again, we’re here in {area}.
Thank you for the honest feedback, {name}. We’re glad {what went well}, and we clearly fell short on {issue}. That is useful to know and we are acting on it. If you would like to tell us more, {email} reaches the owner directly.
{name}, we’re sorry. {Issue} is not the standard we hold ourselves to, and we would like to put it right. Please call {person} on {phone} or email {email} so we can sort this out properly. Thank you for telling us.
Thank you for the rating, {name}. We would like to understand what went wrong. Could you reach us at {email} or {phone}? We take every piece of feedback seriously and will follow up personally.
Thank you for the feedback. We have checked our records and cannot find a visit or booking under this name. If we have missed something, please contact {email} and we will look into it straight away.
Automate replies without losing your voice
In NearPinn the templates above are the starting point for your agent, not the finished reply. Connect your Google Business Profile, set the tone and policies once per location, and every new review arrives with a draft already written. Plans include 10, 75 or 150 AI replies a month, with custom agents and auto-reply automations on Pro and Expert, so an agency can keep a different voice for each client.
Replies also feed ranking. Google says that responding to reviews shows you value your customers, and steady replies are part of the prominence signal covered in our guide on how to rank higher on Google Maps.
Frequently asked questions
- Do review replies help Google Maps ranking?
- Yes. Google recommends replying to reviews, replies keep the listing active, and a good reply to a bad review raises conversion from everyone who reads it afterwards.
- Will Google penalise AI-written replies?
- No. Google acts on spam and repeated boilerplate, not on the tool that wrote the text. Keep each reply specific to the review and edit anything that sounds generic.
- Should I go back and reply to old reviews?
- Yes. Work through unanswered reviews from newest to oldest. Even a one-line thank-you on a two-year-old review shows that someone is paying attention.
